Annual Meeting FAQs




Q: The registration options seem a little different this year. Could you explain my choices?
Sure! To offer you the best experience, we’ve broken down registration as follows.

Regular registration gets you into all panels, meals and receptions occurring during the meeting.  Not included: 1) the International Chapter Lunch on Sunday before the Meeting’s official start and 2) Monday afternoon’s recreational activities.

Panel passes provide access to a single day of panels and between-session coffee breaks. Not included: breakfasts, dinner, receptions, recreational activities or the International Chapter Lunch. Monday’s pass does include lunch.

Are you a full-time student or professor? We offer special rates, but you must be a member. Please bring your ID for check-in at the registration desk.

PLEASE NOTE that the International Chapter Lunch is a separate charge. It is not included in your Annual Meeting registration. More information on the International Chapter Lunch is available below.

Q: Does the registration fee include the International Chapter Lunch?
No, that is a separate charge.

Q: Can I join now and get the member rate? What do I get with my membership? When will it expire?
A: You can and should! We’re the nation's premier organization for copyright professionals. Learn more about how membership will benefit you.

Our membership year runs from 10/1-9/30. Our 2014-2015 year will end on 9/30/15. We are still accepting memberships for 2014-2015, so to get the member rate on the Annual Meeting, simply join at Within 72 hours, you will receive an email that your membership has been approved. Then you will be able to register for the Annual.

Or take advantage of the special deal we are offering: receive 50% off your 2014-2015 membership when you join now for the remainder of this season and for the next season! Your membership will be current until 9/30/16. To take advantage of this opportunity, please download this form and email or fax it back to us.

Q: When do I need to register by?
A: The final deadline to register is midnight of May 29, Eastern Standard Time.

Q: What if I need to cancel my registration?
A: We hope that won’t happen, but if it does, we can refund your payment if we receive written notice by May 29, 2015. We cannot issue credit for a future event. You can transfer your registration to another person, but please put that person in touch with us ASAP so that we can prepare an attendee packet and apply for his or her CLE credit.



Q: What are my options if I can't come to the whole meeting?
A: Panel passes provide access to a single day of panels and between-session coffee breaks. They do not include breakfasts, dinner, receptions, recreational activities or the International Chapter Lunch, but you can purchase tickets for meals or activities separately. Q: I'm going to register for a panel pass and want to add on a meal/reception/activity.
A: Great! Simply visit the main Annual Meeting page and click the links under "Related Products."



Q: I am bringing a guest. What are my options?
A: To increase the options available to guests of attendees, we’ve adopted an “à la carte” system. Guests may purchase tickets for the individual receptions and meals. Each reception and meal requires a separate ticket. You may purchase guest tickets while completing your own registration, or you can do it later—see "Related Products" on the Annual Meeting event page. Guest tickets will be included in your attendee packet.


Q: Can my guest decide on-site if s/he wants to purchase tickets for a meal or an activity?
A: We'd love to accommodate on-site requests, but space and availability are limited and vary depending on the meal or activity. Please contact us to let us know which meal or activity your guest is interested in.

Q: I am bringing a child. Do I have to register him/her for meals?
A: Yes. We have meal packages for children ages 5-12 or 13-18. You can select either option with your registration.

Q: Is there anything fun for kids at the hotel/in Newport?
A:  The hotel has a pool and Easton’s swimming beach is two miles away. For a list of family and children’s activities in the Newport area, visit Things To Do in Newport.



Q: Is the Copyright Society room block at the Newport Marriott still available?
A: As of May 12, 2015, there are a small number of rooms left at a special group rate of $229/night plus tax. The special rate is available until May 15. We have also made arrangements for Annual Meeting attendees to receive a discounted rate at the Hotel Viking Newport, which is four blocks from the Newport Marriott. The rate will be $229 for a Manor Guest Room (one queen bed) or $249 for a Newport Guest Room (two queen beds). In addition to tax, a $14/night resort fee will be added.

The Hotel Viking will hold rooms at this special rate until May 22. To book your room at the Viking, please call 1.800.556.7126 and mention the Copyright Society of the USA or reserve online.




Q: How do I get there?

Q: What important deadlines do I need to know?
The Newport Marriott
: May 15, but we recommend you book as soon as possible. Rooms are limited.
The Hotel Viking:
May 22, but we recommend you book as soon as possible. Rooms are limited.

Recreational Activities: Attendees may sign up at any time, but some activities, such as the tours, have limited spots.




Q: What is the dress code?
A: Summer casual. We’re an informal group! But please bring layers: the conference spaces are air-conditioned, and since we will be by the water, the temperature outside may be cool.




Q: How do I get CLE credit? How many credits will it be?
A: Please indicate your state(s) and bar number(s) when you register. We need to know which states to apply to! We will be applying for 6-8 credits, including 1 Ethics credit, depending on the requirements of each state. Pending approval from each state bar association, panel pass attendees will receive 3-4 credits, depending on which day they attend.

Q: Are you providing Ethics credit?
A: Yes! Monday's "Ethics and Covert Investigation: Thorny Issues That Only Grow More Dangerous in the Internet Age" will provide 1 CLE ethics credit.

Q: Where will I get my CLE certificates?
A: Your CLE certificates will be inside your badge holder. If you've been to a New York Chapter Meeting, you know the drill! Your badge will be available for you to pick up when you check in with us.

Q: When will I get the course materials? Will there be hard copies on-site?
A: Registrants will be mailed a link shortly before the meeting. The materials will only be available online. 



Q: When does the Meeting begin and end?
A: The registration desk is open at 3pm on Sunday, June 7. If you register for the International Chapter Lunch (which is a separate fee), however, you should plan to arrive in time for the lunch’s 12pm start.  The Joint Meeting of the Board of Trustees and Members is from 5-6pm. The first-time attendee reception starts at 6:30 and the welcome reception at 7pm. Sessions will conclude on Tuesday, June 7 at 1pm. Check out the full agenda here.



Q: What is the International Chapter? Do you have to live or work outside of the United States to be a member?
The International Chapter is a group within CSUSA dedicated to international copyright law issues. Any CSUSA member can join, regardless of where he/she lives or works. Please contact to be added to the International Chapter email list.

Q: What is the International Chapter Lunch?
It is a luncheon and panel discussion on a topic related to international copyright law. It will take place at noon at the Newport Marriott on the day of the Annual Meeting’s start but is not officially part of the Annual Meeting. You do not need to be a CSUSA Member or an International Chapter Member to register. We will email the topic, speakers, registration instructions and additional details soon.



Q: Who attends the meeting? Will there be networking opportunities?
A: Annual Meeting attendees include professionals from the world’s leading IP firms and the entertainment industry, solo practitioners, in-house counsel, representatives of the U.S. Copyright Office and other governmental agencies, publishers, academics and law students. We are a collegial group. You'll have ample opportunity to get to know people over breakfast, lunch and coffee, at the Welcome Reception and at Monday night's dinner.

Q: What's the entertainment this year?
A: On Monday afternoon, we will be holding our Annual Copyright Classic Softball Game and the McKay Tennis Tournament. Tennis players, you are in for a special treat! You will be playing on the grass courts at the International Tennis Hall of Fame. On Monday evening, we will present awards to the most exemplary softball and tennis players. So get your skills in shape!

Not interested in softball or tennis? We're also offering a group tour of The Elms Mansion and Tennis Hall of Fame, and a walking tour of historic Newport and the Newport Art Museum.

All activities require a separate fee and are optional. Feel free to spend your free time walking by the water, exploring historic Newport, lounging by the pool, taking advantage of the hotel’s spa or otherwise relaxing!

Q: Does everything take place at the hotel?
A: Yes, aside from Monday’s reception and dinner at the Newport Yachting Center and the recreational activities. Shuttles will be available to take people from the hotel and back for these activities. The Yachting Center, however, is only a 5-10 minute walk from the hotel.

Q: I saw that there is no dinner on Sunday evening. Will there be food at the welcome reception?
A: Yes, there will be light hors d'oeuvres.

Q: Will there be lobster at dinner on Monday?
A: Yes! It will require a separate $15 charge, which you can make while registering. Since we're required to pre-order the lobsters,we need your order by May 29.

Q: Can I get a list of attendees?
A list of everyone who has registered so far is available on the registration page. You will receive a detailed list in your agenda when you check in.

Q: What are all these awards you’re giving out?
A: The Volunteer of the Year Award goes to a CSUSA Member who has put in an exceptional amount of time, effort and spirit into their work for the organization. This year we will also be presenting an Excellence in Creativity Award to the acclaimed composer Stephen Schwartz, whose work includes Pippin, Wicked and Godspell. And we will have our annual sport awards.

Q: Will there be free Wi-Fi at the meeting?
A: Yes, free Wi-Fi will be available in all of the meeting rooms.

Q: I want to live-Tweet the meeting. What is the hashtag?

Q: Will there be lobster at dinner on Monday?
A: Yes! It will require a separate $15 charge. You can place your order while registering or place it separately here. Since we're required to pre-order the lobsters, we need your order by May 29. If you are bringing a guest who wants lobster, please adjust the quantity when you place your order.




Q: Are the hotel, the shuttle to the reception and the Newport Yachting Center accessible to people with disabilities?
A: Yes, but feel free to contact us if you have questions about elevators, stairs and accessibility.
